Follow these simple steps to send emails with Mailmeteor for Sheets

Mailmeteor is the #1 emailing platform for Gmail. Thanks to our easy to use extension for Google Sheets, you can send email marketing campaigns right from your spreadsheets.

Ready? Then let's see how you can send emails with Mailmeteor inside Google Sheets:

  1. Create a new spreadsheet in Google Sheets.

  2. Name your columns by adding text on the first row of your spreadsheet. Each column represents a piece of information about your contacts. In the example below, we've added 4 columns: firstname, email, company, postscriptum.

You can add as many columns as you want and pick any column header name you want. The only thing that matters is that you make sure these headers are placed on the first row.

The data in each column can be used as a custom variable in your email. This means you can write a single email template and automatically transform it into a personalized message for each of your recipients.

Already have a mailing list under another format? You can easily import an existing contact list (Excel file or CSV). To do so, go to File > Import in the Google Sheets menu. Then select your file.

  1. Fill your spreadsheet with your contact info.

It's fine if you leave some cells blank. Except in the "email" column. In the example below, some recipients will get a Post Scriptum, and others won't.

  1. Now that your contact list is ready, you can open Mailmeteor by going to Extensions > Mailmeteor > Open Mailmeteor.

  1. Next, create the email template that will serve as the basis for the mail merge sent with Mailmeteor. To do so, select Create a new template.

  1. Compose your email. The Mailmeteor text editor works exactly like Gmail. You can apply different formatting, insert links, create bullet lists and so on.

  1. Add a subject line to your email template.

In case you'd like to add your email signature, you just have to paste it at the bottom of your template. If your signature contains images, make sure to read our guide on how to insert images, and test your email before sending the campaign to make sure everything looks good.

  1. Personalize your emails with variables.

Mailmeteor is able to pull the data from your spreadsheet using variables. To customize the content of your email, click Insert variable and select a variable.

Alternatively, you can type your variable as follows {{ variable }}. That's the name of the column inside double curly brackets.

You can personalize every part of the email, from subject to content. Once you send your campaign, each variable will be replaced with your spreadsheet data.

Your personalized variables must match exactly the headers of your spreadsheet, including upper/lower cases. If there's a mismatch, the variable will be left blank inside the final email copy.

  1. Once you're done, click Save template.

  1. Pick a sender name. Add a name in the Sender name field. This is the name your recipients will see when they receive your email.

It's possible to send emails from another email account that you own. For example, if you have an Outlook account that you want to send emails from, you can use the Alias feature.

  1. Click Preview emails to make sure everything looks great.

This handy feature lets you preview how your emails will look for each recipient before actually sending them.

If your custom variables don't work properly, it means that the corresponding cell in your spreadsheet is empty or doesn't have the right formatting. Check our dedicated article to solve any problems you may encounter.

  • Check your campaign progress at any given time from the Mailmeteor Dashboard.
