Automate your mail merge in a few clicks, right from Google Sheets.

This feature is currently in beta and exclusively available to Premium users and above. If you encounter any issues or have suggestions, we encourage you to report them here.

We're thrilled to unveil our latest feature, to help you automate your sending, right from Google Sheets. It brings three new exciting ways to send emails:

  • ⚡️ On form submission: link your Google Forms and send emails automatically. Extremely useful for contact forms, feedback forms, etc.

  • ⚡️ On spreadsheet edition: send emails in reaction to changes in your spreadsheet. Use cases: sales pipelines, payment confirmation, etc.

  • ⚡️ On schedule: send an email to your list every day, every Monday, or on special occasions like a new blog post, happy birthday emails, license renewal, etc.

How it works?

Mailmeteor Automation brings three new ways to send emails from your Google Sheets:

Let's see how to configure an automation for each of this trigger.

⚡️ New form response

As it names implies, this automation will react when a new Google Form response is saved. So first, you need to create your Google Form and then link it to a spreadsheet. Once done, open the spreadsheet and follow these steps:

  1. Open your spreadsheet already linked to a Google Forms.

  2. From the extensions menu, select Mailmeteor > Automations.

  3. In the "Templates" section, click on New form response.

  4. Click on Send an email with Mailmeteor to configure the email to send.

  5. In the To section, enter either an email address to send all new responses to (for example if you collect feedback, enter feedback@yourcompany.com) or the column in your spreadsheet that contains email addresses.

  6. Write your message by entering a subject line and content.

  7. Scroll down to access more options then click Save.

  8. Click on Create automation to start sending emails on new form response.

⚡️ Sheet is edited

Whenever you make a change to your spreadsheet, you can send emails by creating an automation. The email will be sent only to the rows affected by a change. For example, if you edit cell B2, an email will be sent to the row B (and not your entire sheet).

To showcase this automation, let's take an example and consider you'd like to send a payment confirmation email whenever an invoice is paid in your spreadsheet:

  1. Open a spreadsheet (or copy this demo spreadsheet).

  2. From the extensions menu, select Mailmeteor > Automations.

  3. In the "Templates" section, click on Sheet is edited.

  4. Click on Add condition to send emails only when an invoice is paid

  5. Click on Save to save the condition.

  6. Then click on Send an email with Mailmeteor to configure the email to send.

  7. Once ready, click on Save to save the email then Create automation.

Now back to your spreadsheet, whenever an invoice is marked as Paid, an email will be sent:

Of course, this automation is not limited to payment confirmation. You can create as many workflows as you have, such as sales pipelines, construction work stages, student copies, etc.

⚡️ On schedule

Next automation lets you send emails daily, weekly or monthly to everyone in your list. Here's how to create one:

  1. Open a spreadsheet (or copy this demo spreadsheet).

  2. From the extensions menu, select Mailmeteor > Automations.

  3. In the "Templates" section, click on Daily at 9 AM.

  4. Click on the "When this happens..." section, to edit when the automation should run. It can run daily, on weekdays, weekly or monthly at the time you configure (9 AM, 10 AM, etc.)

  5. Once done, click on Save, then click on Send an email with Mailmeteor to edit the email.

  6. Once written, click on Save to save the email then click on Create automation.

Your automation will run on time and send an email to everyone in your sheet. Optionally, you add condition to restrict who shoud receive your emails.

Automation limitations

The following table details the automation limits. Provided that you stay within the daily email quota, there's no limit to the number of emails that you can send per day.
